Time Clock Ribbons: How to Choose the Right One

What a time clock ribbon is

A time clock (also called a time recorder) stamps the date and time on a card or a document each time an employee clocks in or out. It does this with a ribbon — usually a small cartridge or a spool — that inks the print mechanism. When the stamped time becomes pale or hard to read, the ribbon is usually the part to replace.

Start from the clock model, not from the ribbon

As with printer ribbons, the model of the machine decides everything. Find the brand and model of your time clock (usually on a label on the machine) and check the ribbon's own product page for the list of models it fits. A ribbon that looks similar is not necessarily the right one.

Always check the compatibility list on the product page itself for your clock model before ordering — the model names in a product title are the starting point, not a guarantee for every variant.

Cartridge or spool?

Time clock ribbons come in different forms depending on the machine: some clocks take a small cartridge that clips in, others take a ribbon on a spool. The form is decided by the clock model, so do not try to adapt one form to a machine made for the other. If you are unsure which form your clock takes, look at the old ribbon before ordering.

When to replace a time clock ribbon

Replace it when the stamped date or time becomes pale, incomplete or hard to read, even after checking that the ribbon is correctly seated. Because a time record is a document people rely on, a pale stamp is worth replacing promptly rather than waiting until it becomes unreadable. Keeping one spare ribbon of the same reference avoids gaps in the record.
